EPF Payment Counters Close 1 July 2026: What Malaysian Employers Must Do Now

EPF Is Closing Its Payment Counters. Here Is What You Need to Do Before 1 July 2026.

If you or your payroll person still walks into an EPF branch to pay monthly contributions, this notice is urgent for you.

From 1 July 2026, EPF (KWSP) will permanently close all contribution payment counters nationwide. No more over-the-counter payments. Every employer in Malaysia must pay EPF contributions through online channels only.

Nothing else changes. Contribution rates stay the same. Payment deadlines stay the same. Only the payment method changes. But if you miss migrating in time, you risk late payment penalties that can add up fast.

Who Is Affected?

This affects any employer who currently pays EPF contributions by:

  • Walking into an EPF branch with a cheque or cash
  • Using a manual bank-in slip
  • Any other over-the-counter method at EPF offices

If you already pay through i-Akaun Majikan or internet banking, you are already compliant. Just keep doing what you are doing.

The Two Approved Online Channels

1. i-Akaun Majikan (EPF Employer Portal)

This is EPF's own online system. You log in, submit the contribution details for each employee, and pay directly. It supports payment via Financial Process Exchange (FPX), which links to your company bank account.

Register at: kwsp.gov.my

2. Approved Internet Banking Portals

Most major Malaysian banks including Maybank2E, CIMB Clicks, RHB, Public Bank, and others offer EPF employer payment services. You initiate the payment from your business banking portal. Check with your bank to confirm they support EPF employer remittances.

Step-by-Step: How to Migrate Before the Deadline

Step 1: Check whether your company already has an i-Akaun Majikan login. If you registered your company with EPF, an account may already exist. Try the password reset function if you have lost access.

Step 2: If no account exists, register online or visit a branch before July 2026. Bring your company registration documents and MyKad. EPF branches can still help you set up the account even after counters close for payments.

Step 3: Link your company bank account to FPX inside i-Akaun Majikan. Test a payment with a small amount the first time so you know the flow.

Step 4: Update your payroll calendar. Note that EPF contributions are due by the 15th of the following month. Online payments post almost instantly, but allow one working day buffer to be safe.

Step 5: Train whoever handles payroll in your business. If it is a part-time bookkeeper or your kedai admin, make sure they have login access and know the steps before the deadline.

Worked Example: Ah Seng's Kopitiam, 8 Employees

Ah Seng runs a kopitiam in Klang with 8 staff. His payroll admin used to drive to the EPF branch every month with a cheque.

Monthly payroll for all staff combined: RM 18,400

| Contribution type | Rate | Amount | |---|---|---| | Employer EPF (13% for employees earning below RM5,000) | 13% | RM 2,392 | | Employee EPF (11%) | 11% | RM 2,024 | | Total monthly EPF remittance | | RM 4,416 |

If Ah Seng misses the 15th deadline because he showed up at a closed counter after July 2026, EPF can impose a late payment dividend charge. For a RM 4,416 monthly remittance, even a small penalty rate compounds quickly over several months.

Migrating to i-Akaun Majikan now costs nothing and takes one afternoon to set up.

Note: Contribution rates above reflect current practice. Always check the latest KWSP notice for any rate updates.

Common Mistakes to Avoid

Waiting until June 2026. The last few months before a deadline always bring technical issues and long queues for support. Set up your online account now.

Assuming your accountant has already done it. Many SMEs outsource payroll but have never confirmed whether the service provider uses online channels. Ask them directly.

Using a personal bank account for FPX payments. EPF employer payments must come from a registered company or business account. Personal accounts will be rejected.

Not keeping payment confirmation records. After each online payment, download and save the transaction receipt. This is your proof of on-time payment if there is ever a dispute.

How StaffE Helps

If you use StaffE for payroll, your EPF contribution amounts are calculated automatically each month. You still need to make the actual payment through i-Akaun Majikan or your bank, but having the correct figures ready means the online submission takes just a few minutes.

FAQ

Q: Can I still walk into an EPF branch for other matters after July 2026?

Yes. EPF branches will remain open for services like employee inquiries, account issues, and employer registration. Only the contribution payment counters are closing. You just cannot hand over a cheque or cash for monthly remittances anymore.

Q: What happens if I pay late because I did not know about this change?

EPF's late payment rules do not have an exemption for not knowing. You may be charged a dividend-based penalty on the overdue amount. The safest approach is to migrate now so there is no risk of missing the deadline.

Q: My company has foreign workers. Does this change affect their EPF contributions too?

Foreign employee EPF contribution rules are separate, and contribution is generally optional for foreign workers (employer and employee may contribute voluntarily). However, if you do make EPF contributions for foreign staff, those payments must also go through online channels after July 2026. Check the latest KWSP notice for foreign worker contribution guidelines as these rules can be updated.
